Position Overview
The Executive Assistant to the General Counsel will provide high-level support to the Executive Vice President, General Counsel & Secretary. This role handles highly sensitive and confidential information and serves as a key liaison between the General Counsel and both internal stakeholders and external contacts, including outside counsel, opposing counsel, and members of the Board of Directors. The Executive Assistant also supports the company's legal and regulatory functions, including Securities and Exchange Commission reporting obligations. Responsibilities include managing complex calendars, coordinating travel and expenses, and overseeing logistics for on-site and off-site meetings. The role may also involve assisting with both personal and professional scheduling needs. Additionally, this position collaborates closely with other Executive Assistants and Legal team members to ensure smooth coordination across the department.
Responsibilities Of The Executive Assistant
- The Executive Assistant will provide comprehensive administrative support to the Executive Vice President, General Counsel & Secretary, including managing calendars, travel, expense reporting, meeting logistics, and internal team coordination.
- Prepare and manage a wide range of legal documents and filings, such as contracts, certificates, SEC-related reports (via Workiva), and Section 16 filings, while coordinating signatures through tools like DocuSign and Diligent.
- The Executive Assistant will serve as a liaison to internal teams and external stakeholders, including the Board of Directors and outside counsel, and support the scheduling, correspondence, and coordination of Board and committee meetings.
- Assist with compliance and regulatory functions, including monitoring trading blackout periods, maintaining EDGAR codes, and coordinating audit response letters and legal disclosures.
- Plan and execute internal Legal team events and summits, manage team-building activities, and collaborate with other executive assistants and legal support staff to ensure alignment across global legal functions.
Required Experience/Skills for the Executive Assistant:
- The demonstrates strong verbal and written communication skills, along with a polished, professional demeanor and the ability to build effective working relationships across all levels.
- Highly organized and detail-oriented, with excellent time management and analytical skills.
- Capable of handling multiple priorities in a fast-paced environment.
- Maintains the highest level of integrity and discretion when handling sensitive or confidential information. Exercises sound judgment and professionalism at all times.
- Proactive and self-sufficient, with a solutions-oriented mindset and the confidence to take initiative and offer constructive input when needed.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Requires 8+ years of relevant experience in a legal or corporate setting.
Preferred Experience/Skills for the Executive Assistant:
- Experience with tools like Diligent Boards, Workiva, and a Notary Public license (NY) is a plus.
Education Requirements:
- Bachelor's degree is required.
