Executive Assistant to Principal - Midtown Real Estate Firm - $75k - $85k + Bonus
Our client, a well-established real estate investment and management firm based in Midtown Manhattan, is seeking a sharp, organized, and proactive Executive Assistant to support one of the firm's Principals. This is a newly created role supporting a kind, even-keeled executive who oversees the commercial side of the business.
The office has a laid-back, collegial environment with a tight-knit team of 10 employees, many of whom have been with the firm for years. The schedule is Monday through Friday, 9:00 AM to 5:00 PM, with no expectation of after-hours or 24/7 support. The ideal candidate will bring a balance of strong administrative skills, financial acumen (especially with QuickBooks), and a willingness to pitch in wherever needed.
Executive Support (Primary Focus):
- Manage the Principal’s calendar, including scheduling internal and external meetings
- Handle phone and email correspondence, prioritize messages, and ensure timely follow-up
- Organize and maintain both physical and digital files and documents
- Assist with personal property financial tracking using QuickBooks
- Potential to assist with travel coordination over time
Office Administration (Secondary Focus):
- Order and maintain office supplies
- Coordinate FedEx and other office shipping needs
- Answer and route incoming calls (call volume is low)
- Act as the first point of contact for general office inquiries
- Help maintain a smooth-running, well-organized office environment
Essential Job Specifications/Qualifications
- Prior experience as an Executive Assistant or Office Administrator
- Proficiency in QuickBooks required
- Strong organizational and communication skills
- Comfortable juggling both executive support and general office admin tasks
- Professional, friendly demeanor with a no-task-too-small attitude
- Experience in real estate or a similar professional environment a plus
Base Salary: $75k - $85k plus bonus
