We are looking for an experienced Executive Assistant to provide high-level administrative support to executives in a fast-paced environment. This is a Contract position based in New York, New York, offering an opportunity to leverage your organizational and multitasking skills to ensure seamless operations. The ideal candidate is proactive, detail-oriented, and capable of handling complex schedules and travel arrangements with precision.
Responsibilities:
• Manage and maintain executive calendars, ensuring efficient scheduling and timely adjustments.
• Coordinate and arrange domestic and international travel plans, including flights, accommodations, and itineraries.
• Prepare for executive meetings by organizing agendas, materials, and follow-up tasks.
• Act as a point of contact for executives, professionally handling communications and inquiries.
• Book and confirm travel arrangements with attention to detail and cost-effectiveness.
• Collaborate with internal teams to ensure alignment on scheduling and priorities.
• Monitor deadlines and ensure timely completion of administrative tasks.
• Provide support during executive events, including logistics and troubleshooting as needed.
• Maintain confidentiality and handle sensitive information with discretion.
• Proactively identify and resolve scheduling conflicts to support smooth operations.
• Minimum of 10 years of experience as an Executive Assistant or in a similar role.
• Proven expertise in calendar management and scheduling for executives.
• Strong skills in coordinating and booking travel arrangements, both domestic and international.
• Exceptional organizational and time-management abilities.
• Proficiency in handling executive communications and correspondence.
• Ability to manage multiple priorities in a fast-paced environment.
• High level of discretion and professionalism when dealing with confidential information.
• Strong proficiency in relevant software tools, such as Microsoft Office and scheduling platforms.
