Who Are We Looking For
The Executive Assistant will support the CEO of Americas by leading their day-to-day business activities and managing special projects. They will build collaborative relationships with internal and external groups, including Global Head office teams in Milan, Italy.
This role will ensure our office is a welcoming, productive environment for all team members. This is a highly visible role that requires exceptional organizational skills, a proactive mindset, and a deep sense of ownership. This role is a trusted partner to senior leaders and a key driver of day-to-day operations at our NYC HQ. This role will report to the CEO, Americas.
This role is a full-time permanent position based in our New York Office and must report into the office Monday-Friday.
Key Responsibilities:
- Manage the day-to-day sensitive and confidential business activities of CEO
- Prioritize and execute travel arrangements to best facilitate effective use of CEO’s time; (both Domestic and International)
- Manage expense reports, reconcile corporate card expenses and uphold company T&E policies
- Schedule meetings and maintain daily and long-term calendar in a manner that provides the most effective use of the CEOs time and prioritizes business needs; regularly liaising with Global Head office in Milan for meetings with CEO and top management
- Coordinate and prepare Budgets/Business Reviews and Senior executive meetings (Global CEO, CFO, Managing Director, etc.) and prepare confidential and sensitive materials;
- Manage all logistics for meetings led by CEO and/or Executive team members, including organizing agendas, booking meeting rooms, preparing written materials
- Miscellaneous Projects as assigned by CEO
- Oversee office standards and organization of floor and manage communication & direction to Office Services Coordinator
- Develop relationships with internal administrative staff to best facilitate meeting planning and scheduling
- Plan and execute corporate events (monthly birthday, annual corporate gathering)
- Assist with travel arrangements for all employees in North America
- Front Desk Operations: Manage visitors and direct inquiries to the appropriate departments or individuals.
Key Requirements:
- 3-5 years’ experience as an Executive Assistant, ideally within the Luxury industry;
- Excellent mastering of all administrative tools, digital works, and essential software (Word, Excel, PowerPoint, browsers, etc.)
- Solid communication and interpersonal skills; able to establish trust and respect with all levels of employees;
- Accountability/credibility, able to always perform highly accountable work style with a strong sense of confidentiality linked to the function, attention to details and compliance;
- Excellent written and oral communication skills, able to produce/write text that is in line with luxury company standard expectations;
- Able to multi-task, work at a fast pace with total accuracy and efficiency in support of the President/CEO;
- Flexible, adaptable and reliable;
- Extremely well organized and structured;
- Able to anticipate needs and provide the highest quality of service;
- Good at teamwork and able to communicate with all company leaders and their teams
- Fluent in Italian is a plus
Budgeted Base Salary: $80-85K per year (based on experience)
