Job Summary
Title: Executive Assistant to President, Distribution
Location: New York, NY (Full-Time, In-Person 5 days a week)
The Role
Roc Nation is seeking a passionate and professional candidate for our Executive Assistant role — the incumbent needs to be well-spoken, with strong verbal and written communication skills (bilingual proficiency strongly preferred), and able to manage a high volume of projects. Must have a minimum of 2 years of experience and be willing to handle administrative responsibilities and work well in a fast-paced, dynamic environment.
Responsibilities
- Fully own, build and maintain the calendar of the executive you support. This includes advance planning, adjusting calendars to address urgent requests, managing incoming calendar emails and applying considered and appropriate judgment, when necessary
- Actively support team and leadership meetings. This includes meeting coordination and logistics, such as ensuring technology availability, slide sharing, agenda distribution, as well as assisting with notes and follow-up actions
- Manage expense reports to ensure on-time submission with required detail and accuracy
- Coordinate and finalize domestic and international travel arrangements
- Work closely with studio managers to organize session details, this includes studio bookings and invoicing
- Answer and transfer incoming calls, manage conference and Zoom calls and all other general inquiries for Roc Nation Distribution
- Effectively coordinate guests for internal and external meetings, including agenda, logistics, travel and special events
- Work closely with the executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Researching and producing material for the executive in advance of meetings and presentations
- Provide general administrative and ad-hoc support, as required
Qualifications
- Bachelor’s Degree is required
- Minimum of 2 years of experience as an Executive Assistant
- Spanish/English bilingual proficiency strongly preferred
- Proficiency and excellent working knowledge of MS Office (Word, Excel, PowerPoint and Outlook), Google Suite and Concur systems
- Paralegal experience preferred
- Ideal candidate must present a professional and diligent image, excellent verbal and written skills and be both self-driven and very detail oriented
- High degree of collaboration with all levels in the organization and ability to work with a diverse group of colleagues that are located in different time zones/offices
- Knowledge of the music and entertainment industry
- Sound judgment, high integrity, and ability to maintain strict confidential information

The Expected Compensation For This Position Is
$60,000.00 USD - $75,000.00 USD
- Pay is based on a number of factors including market location, qualifications, skills, and experience.
