Responsibilities
- Provide comprehensive administrative support to several Finance executives and team members, including calendar management, travel arrangements, meeting coordination, file organization, supply ordering, invoice handling, expense report processing, and inquiry response.
- Partner closely with executives to effectively manage time and priorities by anticipating scheduling needs, resolving conflicts, and ensuring all materials for meetings are prepared in advance.
- Build and maintain strong working relationships with internal teams and external partners, serving as a positive representative of the Finance group.
- Leverage technology to develop and maintain efficient systems for task tracking and follow-ups, ensuring deadlines and deliverables are consistently met with minimal oversight.
- Foster a professional and welcoming environment for colleagues, partners, and visitors interacting with the Finance team.
Requirements
- 3–5 years of prior Executive Assistant experience, ideally supporting senior leadership.
- Bachelor’s degree or equivalent experience required.
- Previous experience working with or for the client is highly preferred.
- Proficiency with Microsoft Outlook and Word; familiarity with additional tools is a plus.
- Demonstrated success supporting an executive office as a trusted and integrated partner.
