Position Overview
The
Administrative Assistant plays a key role in supporting office operations and project teams. This position requires a resourceful and proactive professional who can work independently with discretion, assisting the Office Manager and senior staff to ensure smooth daily functions and professional client interactions. The Administrative Assistant is essential in maintaining efficient communication and coordination across departments, contributing to the overall productivity and positive atmosphere of the office.
Responsibilities Of The Administrative Assistant
- Serve as the first point of contact by managing calls, greeting visitors, and handling enquiries.
- Coordinate meeting logistics including room bookings, catering, and setup.
- Support project teams with administrative tasks such as expense tracking and document preparation.
- Assist with travel arrangements and related documentation for team members.
- Maintain office supplies, liaise with building management, and support office environment upkeep.
- Provide flexible administrative support to the Office Manager and other staff as needed.
Required Experience/Skills for the Administrative Assistant:
- 1 - 2 years of relevant experience preferred, but open to candidates with less.
- Strong front-of-house skills including reception and guest management.
- Proficiency in diary and travel coordination.
- Ability to handle confidential information with discretion.
- Skilled in Microsoft Outlook, Word, and Excel.
- Excellent communication skills, both written and verbal.
- Professional appearance and demeanor with a helpful and courteous attitude.
- Strong organizational skills and ability to prioritize tasks effectively.
- Proactive, flexible, and able to work independently or as part of a team.
Preferred Experience/Skills for the Administrative Assistant:
- Experience supporting senior staff and project teams in a professional office setting.
- Familiarity with administrative practices in creative or design environments.
