This role is central to maintaining a welcoming and organized office environment while supporting daily operations.
The ideal candidate will have strong communication and organizational skills, with the ability to balance front desk responsibilities such as greeting visitors, answering calls, and managing correspondence, while also assisting with administrative tasks including billing, invoicing, and document preparation. This position requires professionalism, attention to detail, and the ability to collaborate with multiple departments in a fast-paced environment.

Job Description: As front office specialist, you will be responsible for managing the front desk, greeting visitors, answering phones, and providing general administrative support to the office. This is a vital role in ensuring that the office runs smoothly and efficiently.
Key Responsibilities:
- Greet visitors and direct them to the appropriate person or department.
- Be the face of the company
- Collaborate/Assist other department with invoices and billing
- Assist HR
- Enter timecards in ADP scanning into Dropbox
- Attention to detail and must be extremely organized
- Computer skills is a must-word, excel, QB
- Answer and direct phone calls in a professional and friendly manner.
- Manage incoming and outgoing mail, packages, and deliveries.
- Assist with general office tasks, such as filing, copying, and organizing documents.
- Maintain a clean and organized front desk area.
- Provide exceptional customer service and address inquiries promptly.
- Perform other administrative duties as assigned.
Requirements:
- Previous experience in a receptionist or administrative role is a plus.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Knowledge of Quick books and Adobe is a plus.
- Experience in AP/AR is a plus.
- Ability to work independently and as part of a team.
- Professional appearance and demeanor.
- Provide top-tier customer service by answering questions and solving problems before they even arise.
- A “go-getter” attitude with the drive to take ownership of your responsibilities.
- Strong time management skills, with ability to organize and manage multiple priorities.
- High school diploma or equivalent required; additional education is a plus.
