The Administrative Assistant provides high-level administrative support in close partnership with the Executive Assistant, serving multiple leaders across Zynex’s Corporate and Sales teams. This role requires autonomy, professionalism, confidentiality, and adaptability in a fast-paced environment.

Essential Job Duties & Responsibilities:
Administrative Support:
- Manage complex calendars, schedule internal/external meetings, and reserve conference rooms.
- Prepare presentations, reports, and spreadsheets as needed.
- Assist in planning and executing meetings, events, and team functions.
- Support coordination of onsite meetings, including room setup, catering, and technology needs.
- Prepare, review, and submit Executive expense reports in Concur, ensuring accuracy and timely processing.
- Manage Sales expense report approvals in Concur and serve as the primary point of contact for all Territory Manager inquiries related to expenses.
- Provide front desk coverage as needed; ensure a welcoming and professional office environment.
- Provide support for department-wide initiatives and special projects.
- Complete administrative tasks for New Hire Sales Training in partnership with Corporate Sales Trainer.
Office & Brand Representation:
- Maintain a clean, organized, and professional office environment.
- Provide high-level customer service and assist with office coordination needs.
Reporting & Communication:
- Provide weekly status updates to the Executive Assistant.
- Proactively identify and communicate issues or needs.
Other Duties/Responsibilities:
- Professionally deliver accurate information using superior written and verbal communication skills.
- Execute effective decision-making ability that aligns with the company business strategy, mission, and vision.
- Interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient.
- Be present and visible in the home office 5 days/week (M-F), 8 hours/day. Exceptions to this need prior approval from your direct Manager.
- Other duties as assigned by Zynex Executives and Executive Assistant.
Qualifications:
- High School Diploma or equivalent required; College degree preferred or equivalent experience.
- 1+ years in an administrative support role or leadership role preferred, but not required.
- Proficient in MS Outlook, Excel, PowerPoint, and Word.
- Strong calendar and time management skills.
- Excellent written and verbal communication.
- Ability to handle multiple projects with attention to detail.
- Experience in fast-growth or public company settings is a plus.
Physical & Environmental Requirements:
Computer Intensive Tasks (95% of shift):
- Ergonomics: Maintain proper posture using an ergonomic chair.
- Communication: Effectively communicate via spoken, written, virtual, and electronic means.
- Strenuous Eye Activities: Ability to focus and concentrate on detailed tasks for extended periods to reduce eye strain.
- Repetitive Strain: Perform frequent keyboard and mouse activities with dexterity and careful hand movements to minimize the risk of strain.
- Sitting for Extended Periods: Sit for prolonged periods while working on a computer.
- Technology Proficiency: Utilize office equipment, including computers, copiers, fax machines, and telephones, as well as demonstrate proficiency in Microsoft Office Software.

Physical Tasks (5% of shift):
- Heavy Lifting: Lift objects weighing up to 30 lbs.
