Position Overview
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the SVP of Design and Production - a dynamic role that combines traditional executive support with active engagement in project development and cross-departmental coordination.
This position is ideal for someone who thrives in a fast-paced creative environment and is excited to contribute to both strategic initiatives and hands-on project execution. You’ll support not only the SVP’s daily operations but also the success of our projects by helping to connect dots, coordinate meetings, and maintain communication across internal teams and partners.

Key Responsibilities
Executive Support
- Provide direct administrative support to the SVP, including calendar management, travel coordination, and expense reporting
- Anticipate the needs of the SVP and streamline daily workflows to maximize efficiency and protect their time. Serve as a liaison between the SVP, internal partners, and external stakeholders with professionalism and discretion
- Draft correspondence, manage communication workflows, and help prioritize incoming requests
- Coordinate with other Executive Assistants across the organization to align schedules, manage approvals, and support company-wide operations
Project & Partner Support
- Provide administrative and operational support for active projects in development and production
- Coordinate project meetings, prepare agendas, take notes, and follow up on action items
- Communicate across multi-disciplinary project teams, ensuring alignment and timely flow of information
- Conduct targeted research to identify solutions for project challenges, new vendors, materials, or tools that enhance project outcomes.
- Support project documentation, including tracking deliverables, maintaining shared folders, and assisting with reports or presentations
- Manage travel requests and approvals related to project site visits, meetings, and events
- Collaborate closely with internal partners across departments such as Design, Production Management, Finance, and Creative to support cross-functional initiatives
Qualifications
- 2+ years of experience as an Assistant, ideally supporting a senior creative, production, or project-development leader
- Demonstrated ability to coordinate across complex teams and projects with strong follow-through
- Excellent research and problem-solving skills, with the ability to quickly find and evaluate solutions
- Exceptional organizational and communication abilities, both written and verbal
- Proficiency in Google Workspace, Slack, Zoom, and project management tools (e.g., Smartsheet, Notion, and Procore)
- Trustworthy, discreet, and comfortable handling sensitive information
- Flexible, curious, and eager to learn about the creative process of bringing large-scale experiences to life

The salary range for this role considers a range of variables used in making compensation decisions and may include but is not limited to experience, training, licenses, certifications, skill sets, business needs, and travel. Compensation decisions are dependent on the unique variables that are present. A reasonable estimate of the current range is $60,000 to $80,000. This range has not been adjusted based on the geographic location of the successful incumbent
