Our client is seeking a highly organized and professional Executive Assistant to provide advanced administrative support to the Senior Vice President (SVP) and Chief Information and Innovation Officer (CIO). This role requires a polished, proactive, and detail-oriented individual who thrives in a fast-paced environment and can manage confidential information with discretion. The Executive Assistant will serve as a key liaison to board members, donors, vendors, and senior leadership, ensuring seamless communication and operations across multiple departments.
Pay: $38-40/hr
Location: 100% onsite in San Diego, CA
Employment type: 2.5 month contract with potential to extend
Key Responsibilities
- Provide high-level administrative and executive support to the SVP and CIO, including calendar management, scheduling, and correspondence.
- Prepare for and coordinate quarterly IT Board Committee meetings and act as liaison to Board members.
- Organize, plan, and support donor and board events, including logistics, materials, and communications.
- Manage travel arrangements, itineraries, and expense reports for executives and leadership staff.
- Draft correspondence, create and edit presentations, and prepare reports or meeting materials.
- Maintain office services by organizing operations and procedures, reviewing supply requisitions, and overseeing office budgets.
- Manage vendor relationships and scheduling for Ruffin Road Suite D, ensuring timely issue resolution and service quality.
- Maintain and oversee workspace organization, meeting spaces, and shared areas to ensure proper maintenance and presentation.
- Coordinate facility and property needs with leaseholders and service providers.
- Handle highly sensitive materials and information with the utmost confidentiality and professionalism.
- Work independently, anticipating needs, prioritizing multiple assignments, and exercising sound judgment.
- Readily adapt to evolving priorities, organizational culture, and the political environment of a healthcare/non-profit setting.
Required Skills and Qualifications
- Minimum 5–7 years of administrative support experience, including at least 3 years supporting senior-level executives.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Visio) — advanced level required.
- Excellent verbal and written communication skills with strong command of grammar, punctuation, and professional correspondence.
- Demonstrated ability to manage multiple priorities, meet deadlines, and perform with accuracy under pressure.
- Strong organizational skills, self-motivated, proactive, and detail-oriented.
- Experience maintaining office operations, budgets, and vendor coordination.
- Ability to manage sensitive information and exercise discretion in all interactions.
- Proven ability to build and maintain relationships with internal and external stakeholders, including executives, board members, and donors.
- Healthcare or non-profit industry experience required.
Education
- High School Diploma required
- Associate or Bachelor’s Degree preferred
