Position Overview
The front office assistant provides support with the daily activities for ambulatory/physician office operations, including patient registration, telephone coverage, appointment scheduling, and patient referrals under the supervision of Manager Practice Operations, Medical Office Manager, Academic Program Manager, Academic Nurse Manager and/or Practice Site Supervisor.

Responsibilities
Essential Functions
- Appointment Scheduling: Schedules patient appointments based on practice-specific protocols and patient preferences. Ensures required pre-certifications and authorizations are obtained when necessary.
- Patient Registration: Collects accurate and complete patient demographic and insurance information.
- Medical Records Requests: Processes all medical record requests in accordance with Orlando Health and department-specific policies and procedures.
- Policy Compliance: Adheres to and ensures compliance with Orlando Health and OHPE (OHPG, OPN) policies, procedures, and value statements.
- Office Technology & Communication: Demonstrates proficiency in using office equipment and technology. Answers telephone calls professionally and appropriately.
- Patient Experience: Demonstrates a commitment to excellence and actively engages in improving overall patient satisfaction.
- Professional Interaction: Interacts with patients and families in a courteous and professional manner.
- Attendance: Maintains regular and punctual attendance in alignment with Orlando Health policies and applicable federal, state, and local standards (ADA, FMLA).
- Policy Adherence: Maintains compliance with all Orlando Health policies and procedures.
Other Related Functions
- Quality Assurance Participation: Participates in assigned Quality Assurance and Quality Indicator activities.
- Regulatory Awareness: Demonstrates awareness of legal issues, patient rights, and compliance with regulatory and accrediting agency standards.
- Resource Efficiency: Practices efficient use of supplies.
- Billing Support: Assists billing services as requested.
Qualifications
Education / Training
- High School graduate or equivalent
Licensure / Certification
Experience
- Minimum of six (6) months experience in one or more of the following settings:
- Clerical office
- General business
- Customer service
