Boutique finance firm is seeking a self-motivated and experienced Executive Assistant to join their NYC office. The ideal candidate will have 5+ years of administrative experience in a similar job function.
Salary: $90-110K base plus bonus
Hybrid schedule, 4 days onsite, 1 remote
Hours 9-5
Responsibilities:
- Extensive and strategic calendar management, scheduling appointments, reservations, and meetings
- Handle all travel arrangements, including flights, hotels, ground transportation; obtain visas, passport renewals, or any other travel documents
- Prepare and distribute agendas, letters, reports, presentations, expenses, and other communications, including confidential documents
- Screen and respond to incoming calls and correspondence, act as a gatekeeper
- Manage meeting logistics, including planning, oversight, breakdown, etc.
- Process and submit expense and reimbursement reports
- Manage prioritization of internal and external requests for review and approval in real-time daily
- Provide additional assistance on ad-hoc projects when needed
Requirements:
- Minimum of 5 years of team administrative experience; financial services experience preferred
- Bachelor’s Degree preferred
- Superior interpersonal skills and ability to maintain a calm demeanor in a fast-paced demanding environment
- Strong problem-solving skills and ability to exercise sound judgment with minimal supervision
- Excellent organizational skills and ability to prioritize multiple tasks while maintaining a high attention to detail
- Exceptional written and verbal communication skills
- Advanced proficiency in MS Office, including Word, Excel, and PowerPoint
