About Grace Healthcare ServicesGrace Healthcare Services is a respected provider of hospice and palliative care across Middlesex, Union, and Somerset Counties. Our team is dedicated to serving patients and their families with dignity, clinical excellence, and compassionate support throughout the end-of-life journey.
Your Responsibilities Include:
Greet all visitors and staff in a professional, courteous, and empathetic manner
Serve as the first point of contact for high-volume phone calls; answer promptly and direct calls appropriately
Triage urgent, patient-related calls to the appropriate nursing or clinical staff
Manage incoming and outgoing mail, including updating tracking logs and ensuring timely external delivery
Maintain accurate visitor logs and ensure all field staff sign in upon entering the office
Prepare and send company correspondence including staff birthday, anniversary, and sympathy cards as part of employee recognition
Distribute monthly internal communications such as birthday and anniversary announcements
Perform general clerical duties such as photocopying, faxing, filing, and maintaining staff mailboxes
Collect and record weekly reports (e.g., staff schedules, surveys, etc.) as directed by leadership
Support the HR department and other departments with confidential administrative support

What You Bring to Grace:
High school diploma or equivalent required
Minimum 2 years of front desk or high-call-volume receptionist experience, preferably in healthcare or customer service settings
Excellent verbal communication, organizational, and interpersonal skills
Proficiency in Microsoft Office (Outlook, Word, Excel) and office equipment (copiers, fax machines, scanners)
Strong attention to detail and ability to multi-task under pressure
Professional demeanor and ability to handle sensitive interactions with empathy and discretion
