Location: 100% Onsite (25+ hrs/wk)

Job Description

Our client is seeking a reliable and entry-level Administrative Assistant to support daily operations and ensure smooth communication between internal departments. This individual will be the first point of contact for phone and email inquiries and will play a key role in maintaining a professional office environment. The ideal candidate will have strong written and verbal communication skills and the ability to interact comfortably with a variety of stakeholders including accounting, sales, and executive leadership.

Key Responsibilities

Answer and route incoming calls in a courteous and professional manner
Respond to emails promptly and accurately on behalf of the department
Schedule and coordinate meetings, appointments, and internal events
File, scan, and organize documents both digitally and in physical storage
Greet and assist visitors and clients as needed
Communicate effectively with internal teams including accounting, sales, and executive staff
Provide administrative support including data entry, copying, and document preparation
Track and order office supplies, ensuring availability of materials and equipment
Maintain and update contact lists and office calendars
Perform general clerical duties to support operational needs

Skills and Experience:

Strong verbal and written communication skills
Comfortable communicating with a range of personalities and roles
Basic proficiency in Microsoft Office Suite (Word, Outlook, Excel)
Ability to manage time effectively and prioritize multiple tasks
Professional, punctual, and detail-oriented
Friendly and approachable demeanor with a can-do attitude
High school diploma or equivalent required
Previous office or customer service experience preferred but not required
