Background:
The Consulate General of Malta in New York is seeking to recruit eligible candidates for the vacant position of Consular Assistant on a full-time, one-year term definite contract.
This is a full-time, work from office, 40-hour per week position. The working hours are Monday to Friday from 09:00hrs-17:30hrs with a daily 30-minute lunch break. The selected candidate would however be expected to be flexible should support be required outside of these hours (time off in lieu would apply subject to approval).
Who are we?
The Consulate General of Malta in New York has consular jurisdiction over a number of states in the East Coast of the United States of America, providing consular assistance to Maltese nationals in these areas. The main objectives and functions of the Consulate are:
· To protect and assist Maltese citizens who are living, traveling, or doing business in the consular jurisdiction within the US. This includes processing citizenship and passport applications, life certificates, and other documents; helping in case of emergencies or crises; and facilitating communication with Maltese authorities.
· To promote and facilitate economic, cultural, and educational relations between Malta and the East Coast of the US. This includes organizing events, initiatives, programs, and projects that showcase Maltese interests, values, culture, and achievements; supporting trade, investment, tourism, and cooperation opportunities; and engaging with local authorities, media, civil society, and other stakeholders.
· To provide information and guidance on various matters related to Malta. This includes answering queries from the public; providing travel advice and visa requirements; issuing apostilles or authentications of documents; and informing about the policies, laws, regulations, and services of both countries.

Duties and Responsibilities
· Respond to enquiries from the public and providing consular services;
· Respond to telephone and written enquiries in a timely manner;
· Perform front-desk duties assisting public visiting in person and assist in scheduling appointments and providing necessary documentation and up-to-date guidance;
· Perform back-office duties and record-keeping;
· Assist in drafting press releases/social media content;
· Process general administrative tasks;
· Perform other duties as required by the exigencies of the office, within the terms of employment.
Direct Reports
This role reports directly to the Consul General of the Republic of Malta in New York, and higher up to the Ambassador of Malta to the United States of America. This role does not constitute a substantive grade in the Diplomatic Corps.
Essential qualifications, skills and experience
· Prior experience in a similar position and in customer-oriented service will considered an asset;
· Written and spoken proficiency in Maltese will be considered an asset
· A minimum of a high-school leaving education;
· Excellent detail-oriented and organizational skills;
· Excellent communication skills;
· Linguistic proficiency in both written and spoken English is essential;
· Ability to multi-task and work in a team;
· Exceptional personal integrity, trustworthiness. Candidate must be honest and reliable;
· Strong interpersonal skills, including the ability to be professional, work under pressure and have a friendly and flexible attitude.

Salary:
Entry level - USD 54,000 per annum. Taxes and Social Security Contributions to be paid by the Employee.
