General Information/Job Summary
Responsible for providing administrative, operational, and technical support to ensure smooth daily operations across the organization, as well as other miscellaneous administrative duties.
Responsibilities/Competencies
- Provide direct support to the Corporate Manager – Business Support and Analytics across daily tasks, reporting needs, and administrative functions.
- Assist with preparing data reports and perform basic data checks to ensure accuracy.
- Maintain spreadsheets, databases, and other tools used in reporting and analysis.
- Perform job set-up, updates, and maintenance of job details in Spectrum.
- Assist with organizing and maintaining client and project contracts, job files, and supporting documentation to ensure accurate recordkeeping and retention.
- Help prepare weekly, monthly, quarterly, and ad hoc reports by gathering data, formatting documents, and performing preliminary reviews.
- Assist with monthly financial update activities by gathering project data, performing data entry, and supporting the preparation of reporting packages.
- Conduct light audits of job details and flag inconsistencies or required corrections.
- Help maintain workflow within the department by supporting process improvement efforts and documenting simple procedures as needed.
- Assist with the planning and coordination of corporate events and training sessions.
- Maintain cooperative and professional relationships with employees, peers, and consumers.
- Handle sensitive and confidential information with discretion.
- Perform general office duties such as filing, scanning, and organizing digital folders.
- Other duties as assigned.
Requirements
- 1–3 years of administrative, business support, or data entry experience preferred.
- Demonstrated written and oral communication skills
- Demonstrated ability to work independently and as a team.
- Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint) and intermediate Excel skills.
- Ability to learn and navigate job management systems and databases.
- Attention to detail with strong organizational and time-management skills.
- High degree of discretion dealing with confidential information.
- Professionalism and strong interpersonal skills when working with others.
- Willingness to work some early mornings, evenings, or weekends as deadlines require.
- Ability to travel for short business trips when needed.
