Our Texas-based law firm client seeks an Executive Assistant for their Austin office. This full-time, on-site role offers excellent benefits and a fast paced, high demand environment.
RESPONSIBILITIES
- Provide comprehensive administrative support to the Partner, Attorney, and legislative team.
- Knowledge of Texas Ethics Commission (TEC) regulations, including lobbyist expenditure thresholds, reporting requirements, and filing deadlines.
- Compile and submit monthly and annual lobbying reports for all firm lobbyists.
- Coordinate and deliver items such as food, beverages, or other bulk gifts to the Capitol.
- Respond promptly to urgent legislative requests and time-sensitive matters.
- Manage and update multiple political and leadership calendars.
- Support political receptions and events by providing relevant data, including sponsorship forms, donation history, and prior guest lists.
- Draft and prepare political contribution letters.
- Arrange private dining or large-group restaurant reservations as needed.
- Provide advanced Microsoft Word processing support to attorneys.
- Assist in preparing and submitting e-filed legal documents.
- Schedule meetings and conference calls.
- Print, distribute, and manage billing documents as required.
- Maintain and track Continuing Legal Education (CLE) accounts.
- Monitor and follow up on the Partner’s email communications.
- Handle conference registrations.
- Prepare and submit expense reports.
- Develop PowerPoint presentations as needed.
- Answer incoming calls and relay messages to appropriate recipients.
- Record the Partner’s billable hours and mileage with minimal supervision.
- Prepare meeting materials, set up technology, and provide other meeting support.
- Process courier requests, shipping, and certified mail for outgoing packages.
- Plan and coordinate events, including vendor selection, invitation creation, guest list management, calendar updates, and menu planning.
- Provide general office support.
- Assist with personal and special requests as assigned.
REQUIREMENTS
- Highly proficient with Microsoft Suite
- Excellent calendaring skills, including making appointments and scheduling meetings
- Experience with making travel arrangement and reservations
- Professional attitude and appearance
- Excellent organizational skills with attention to detail
- Multitasking and time-management skills, with the ability to prioritize tasks and handle pressure
- Ability to work in environments that may be sensitive to political affiliations
- Ability to work extended hours as needed
