General Duties And Responsibilities

- While performing any procedure, all associates and contract personnel must observe applicable Safety, Health, and Environmental rules and guidelines. The use of appropriate personal protective equipment is required.

Essential Duties And Responsibilities
- Oversee daily front office operations to ensure efficient, accurate, and professional service delivery.
- Assign, review, and monitor work performed by deputy clerks and support staff at the front counter.
- Provide guidance and training on court policies, procedures, and case management systems.
- Serve as acting supervisor or team lead in the absence of Court Administrator
- Assists during Municipal Court sessions to ensure the orderly and efficient operation of the Municipal Court process as needed.
- Resolve escalated or complex inquiries related to filings, case information, or court procedures.
- Interpret and communicate court policies and rules clearly to ensure consistent public service.
- Enters citations into the appropriate computer system and submits to the State of Georgia, runs criminal and driver history reports for each individual that receives a citation.
- Accepts fees and fines, completes receipts and posts payments for traffic fines, restitution of payments, and other payments authorized by court order.
- Maintains case files on incidents and arrests, assigns file numbers, constructs new case files, transfers cases to the appropriate agency.
- Audit case files, dockets, and financial logs to maintain quality and compliance standards.
- Monitor workload distribution and adjust staffing levels to meet operational needs.
- Participate in staff meetings, training sessions, and policy reviews as a representative of the front office team.
- Assist in onboarding and training new clerical staff.
- Plan and coordinate daily workflow to meet court deadlines and docket requirements.
- Identify procedural inefficiencies and recommend or implement process improvements.
- Processes and prepares bonding company and attorney Resets.
- Maintains case files, constructs new case files and numbers; transfers cases to the appropriate agency.
- May represent department on city wide committees.
- Any other duties as assigned.

Competencies/Specific Experience Or Training Preferred

Minimum Qualifications
- High School Diploma or equivalent.
- Associate’s degree with two (2) years of college coursework from an accredited college or university in criminal justice or related field preferred.
- Six (6) years’ experience in a Georgia municipal court environment; equivalent combination of education and experience.
Preferred Qualifications
- Bachelor’s degree from an accredited college or university in criminal justice or related field preferred.
- Four (4) years’ experience in a Georgia municipal court environment
- Previous supervisory experience in office setting
Knowledge, Skills And Abilities
- Basic knowledge of the practices and procedures involved in law enforcement record keeping and confidentiality;
- Knowledge of City policies, procedures, codes, ordinances and applicable State, federal, and Local laws;
- Knowledge of GCIC rules and regulations; GCIC certified is preferred;
- Knowledge of DDS rules and regulations;
- Knowledge of modern office practices, methods, equipment, and standard clerical procedures;
- Knowledge of basic bookkeeping practices;
- Knowledge of basic math and accounting practices;
- Knowledge of appropriate contacts for related police and court issues;
- Skill in operating a computer and entering data into a database;
- Ability to operate GCIC to run criminal and driving history reports;
- Ability to read and comprehend various technical reports and legal terminology;
- Ability to handle confidential information;
- Ability to handle stressful situations;
- Capacity to assess workload demands, make adjustments, and ensure timely and accurate processing of documents and records.

Work Environment: Work is performed in an office environment and may require a willingness to work any hour of the day or night (shift work), overtime, or weekends.
