This role is critical to ensuring smooth front office operations, timely order processing, and a professional and welcoming environment for both internal staff and external visitors.
The ideal candidate is proactive, service-focused, and thrives in a fast-paced setting where no two days are the same.
Some of the Responsibilities of the Administrative Coordinator include:
- Answer incoming calls from customers, suppliers, and other external contacts, and direct them appropriately.
- Greet visitors at the main entrance and escort them to meeting rooms as per their scheduled appointments.
- Process parts orders using the company’s ERP software system.
- Coordinate shipments of parts orders to ensure timely and accurate delivery.
- Perform regular document filing and scanning for various departments.
- Monitor inventory of office and conference room supplies (e.g., snacks, drinks, utensils) and reorder as needed.
- Prepare conference rooms and arrange catering for meetings and special events.
- Partner with the HR Manager to track employee birthdays and work anniversaries, and assist in planning office celebrations.

- Professional and effective communicator, comfortable interacting with customers, vendors, and internal teams.
- Friendly, approachable, and capable of handling a wide range of call types, including customers and cold callers.
- Strong attention to detail to ensure accuracy in order processing and shipment coordination.
- Flexible and adaptable to changing tasks, priorities, and schedules.
- Excellent multi-tasking and organizational skills.
- Proficiency in Microsoft Office, including Word and Excel.
