Job Summary
Oversees daily operations of a physician's office, performing a combination of supervisory, clinical, and administrative duties. Responsibilities include staff management, performance improvement, customer service, accounts payable, and electronic billing. This role requires leadership, strong communication skills, and familiarity with both clinical procedures and office administration.
Essential Functions
- Collaborate with physicians to maintain a professional environment and strong relationships with staff and patients
- Support leadership in budget and productivity planning
- Manage electronic billing, cash posting, petty cash, and related accounting responsibilities
- Verify insurance coverage and remain current with payer requirements and industry standards
- Participate in hiring, staffing schedules, and coverage across offices
- Supervise office personnel and manage office operations including supply ordering, mail, telephone inquiries, and equipment updates
- Maintain physician and staff calendars, address patient and staff issues, and ensure operational efficiency
- Communicate with external vendors and sales reps
- Maintain and update office policies, procedures, and software systems
Knowledge/Skills/Abilities/Expectations
- Proficient in Microsoft Office and physician practice billing systems
- Knowledge of medical terminology and basic accounting/banking
- Strong written and verbal communication skills, attention to detail, and ability to multitask
- Collaborative, organized, and self-motivated with strong customer service skills
- Proficient with standard office and clinical equipment, including EMRs, fax, phone, and calculators
- Ability to read, write, and speak fluent English
- Regular attendance and occasional travel (5%) required
- Must meet physical requirements for lifting (up to 50 lbs), standing, walking, and fine motor tasks
- Must meet visual and auditory acuity standards necessary for clinical and office functions

Qualifications
Education
- Graduate of an accredited school of nursing required.
Licenses/Certifications
- Current Licensed Practical Nurse (LPN) license in the State of practice required
- Basic Life Support (BLS) certification required
Experience
- Minimum 3 years of supervisory or lead experience in a physician office or hospital setting
- Minimum 1 year experience with Electronic Medical Records (EMR)
- Minimum 1 year experience with surgery scheduling
- Preferred: 5 years supervisory or lead experience
