Scion Staffing has been engaged to conduct a search for an experienced and highly organized Executive Assistant on behalf of our client, a prestigious and high-performing professional services practice based in Manhattan. This full-time, direct hire, onsite position is an incredible opportunity to support a high-profile executive in a fast-paced, mission-driven setting located in a polished, professional Manhattan office.

POSITION OVERVIEW:

The Executive Assistant will be a critical partner to a globally recognized executive who leads a high-demand practice serving top-tier clientele. RESPONSIBILITIES:

Manage a highly complex and dynamic calendar, including scheduling across global time zones and frequent appointment changes
Serve as a calm and polished first point of contact for clients and visitors, maintaining discretion and professionalism at all times
Oversee front desk operations: answer phones, greet clients, and keep the office tidy and well-stocked
Coordinate travel logistics, prepare itineraries, and ensure smooth transitions
Track billing and payments using internal systems (light financial admin, not accounting)
Support ongoing projects with document preparation, formatting, and logistical follow-through
Utilize practice management software (Jane) and Google Calendar for all scheduling functions
Proactively handle administrative issues with minimal oversight while maintaining a high standard of accuracy and responsiveness

QUALIFICATIONS:

Proven success as an Executive Assistant supporting a senior leader or high-profile individual
Exceptional organizational, time management, and multitasking skills
Professional, poised, and composed under pressure, especially in client-facing situations
Strong verbal and written communication skills with a clear and neutral tone
Comfortable managing scheduling software, client management platforms, and light administrative billing
Ability to work independently while also collaborating with part-time and remote team members
Prior experience in a private practice, boutique firm, or high-end professional services setting strongly preferred

COMPENSATION AND BENEFITS:
