About The Role

We are seeking a highly organized and proactive Administrative Assistant to support our growing Houston office. This individual will play a key role in ensuring smooth day-to-day operations, supporting leadership with administrative tasks, and helping set up and scale our new Houston location.

Key Responsibilities

Office & Facilities Support

Restock and manage kitchen, office, and general supplies.
Keep office space clean, organized, and well-maintained, ensuring it is always presentable.
Assist with the setup and coordination of the new Houston office (furniture, vendors, supplies, logistics).
Act as point of contact for building management, vendors, and service providers.

Administrative & Operational Support

Manage leadership team calendars, including scheduling meetings and resolving conflicts.
Greet and manage guests and visitors, ensuring a professional and welcoming environment.
Assist with travel arrangements (flights, hotels, transportation).
Support hiring and recruiting efforts for the Houston office (scheduling interviews, coordinating candidate visits, liaising with recruiters).
Maintain internal documentation, filing systems, and office records.
Coordinate team meetings, events, and offsites, including logistics and catering.

General Support

Help onboard new employees and ensure they are set up with necessary equipment and resources.
Prepare and edit documents, reports, and presentations as needed.
Assist leadership with special projects and ad hoc administrative tasks.
Anticipate team needs and proactively suggest improvements for efficiency and organization.

Basic Qualifications

1-2 years of experience as an administrative assistant, office coordinator, or similar role.
Strong organizational skills with attention to detail and a passion for keeping spaces tidy and presentable.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite
Ability to multitask, prioritize, and work independently.
Professional, positive, and proactive attitude.

Preferred Qualifications

Experience supporting office setup or expansion.
Familiarity with travel booking platforms and recruiting coordination.
Experience with Greenhouse (ATS) and DocuSign (e-signature workflows).

Location: Houston, TX (Onsite)

Salary Range

$45,000 - $50,000 USD + Benefits
