Successful $5.8 billion-dollar asset management firm (mutual fund, investment partnerships, separately managed accounts, and exchange traded funds) seeks Office Administrator. The ideal candidate will work with all employees to support the Firm. This person will join a staff of 19, located in Westport, CT.

Responsibilities include:

· Greeting visitors as first point of contact. Responsible for answering main line phone line.

· Coordinate office maintenance and primary contact for building management.

· Manage office and kitchen supplies and daily kitchen maintenance.

· Book business travel arrangements, assist with industry conference logistics and expense reports for Research & Marketing/Sales teams.

· Generate reports and create quarterly reports earnings schedule on calendar.

· General clerical duties including scanning, filing, mailing and organization.

· Manage twice weekly office lunch ordering and pick-up.

· Coordinate logistics for office events.

· Support visitors with any office logistics.

· Manage office calendar, company-wide phone system, company cell plan.

· Support Principals with errands and personal travel arrangements.

· Provide support to marketing/sales department:

o Assist with formatting documents and presentations.

o Assist with data entry in CRM database and generating reports.

o Update company website as needed.

· Additional supplemental projects as assigned.

Requirements

· In office 5 days/week from 8:30-5pm to ensure smooth daily operations and maintain organization.

· Able to work independently in a team environment. Pro-active self-starter.

· A problem solver who is willing to learn.

· Excellent verbal and written communication skills.

· Organized, attention to detail is critical.

· Professional discretion required.

· Demonstrated proficiency with WordPress, Microsoft Outlook, PowerPoint and Excel.

· Knowledge about the use and maintenance of CRM databases required.

· College degree required. Financial Services work experience desired.

· Must be authorized to work in United States without employer sponsorship.
